Conditions of Employment:

Possession of a valid Driver's License is required.  Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.

The person holding this position is considered a `mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.

Department: Office of the Provost/Academic Affairs

The Office of the Provost is responsible for planning, budgeting, resource allocation and
expenditure control for all instructional and academic support areas of the University as well as all
academic programs and faculty. Areas of responsibility include the undergraduate, graduate and
continuing education programs, library and media services, research and grant activities, faculty
governance; faculty personnel records, retention, tenure and promotion processes, accreditation,
faculty development, course scheduling, course data base, curriculum register and catalog; liaison
with many on and off campus groups, organizations and governmental units.
Major Job Duties:

Under the general direction of the Provost, the Executive Assistant plans, supervises and provides training to office staff, conducts performance appraisals, and manages the day-to-day operations of the Office of the Provost. In particular, the individual assigns tasks to staff, organizes scheduling for the Provost, serves as liaison for the Provost and Associate Vice Presidents for problem solving and/or troubleshooting sensitive issues involving on-and-off campus personnel, maintains oversight of operating procedures; develops and maintains the Academic Affairs website, performs special projects and other duties as assigned in support of the Office of the Provost.

Required Knowledge, Skills and Abilities:
Knowledge of:
- Knowledge of correct English grammar, spelling and punctuation;
- Knowledge of search engines and good research practices
- Knowledge of office procedures and practices;
- Knowledge of proper customer service-oriented techniques;
- Knowledge of standard computerized office systems and equipment;

Ability to:
- Ability to coordinate many different tasks, determine the importance of each, set appropriate deadlines and complete all projects accordingly;
- Ability to conduct analysis of data and information and present findings and recommendations in concise and clear manner;
- Ability to perform multiple work unit priorities and projects independently;
- Ability to interpret and apply policies and procedures independently and make sound recommendations;
- Ability to communicate effectively both written and orally;
- Ability to establish and maintain effective working relationships at all levels, and handle highly sensitive and confidential situations;
- Ability to draft and compose correspondence, and prepare, process, and compile data for reports;
- Ability to troubleshoot most office administration problems and respond to all inquiries related to work area;
- Ability to use and learn quickly new office support technology systems and software packages;
- Ability to use negotiation and persuasion skills to achieve results and expedite projects.

Experience and Education:

Minimum Qualifications: 

Required Education: A Bachelor’s degree from an accredited university or college or equivalent experience.

Required Experience: At least five (5) years of experience in a setting that has provided the individual with the minimum employment standards (above) to perform the duties and responsibilities of the position. Ability to handle confidential and sensitive information with tact and discretion. Proven ability to effectively communicate within an ethnically diverse community. Demonstrated ability to determine training needs and methods of delivery.

Preferred Experience: Previous experience working in a college or university environment. Working knowledge of PeopleSoft student module.
