Qualtrics Drill Down

Many institutional research offices have taken advantage of web survey administration tools because it is easy to design, administer, and collect survey responses within these systems. The system we use at IUPUI, Qualtrics offers a wide variety of options for automatic reports that can generate valuable information and save considerable time for analysts. One such reporting option is the drill down report. I have used it in my work to separate responses by class for a survey on mentors, and to separate responses by sport for a survey of student athletes. This option provides an easy way to create a report, much like a pivot table or SPSS crosstab without the hassle of downloading the data or uploading it into another system.

The drill down report option can be performed as data is being collected in “real time” within Qualtrics, so you can provide updates as the survey is in the field or gain insight into how subgroups are interpreting survey questions. To begin, go to the “view results” tab in your Qualtrics account and select “view reports.”Q1.JPG
Under “Select a Report,” you’ll see a blue link titled “Create a New Report.” Click that link to create a new report. The default will be similar to the “initial report” generated every time a new survey is created. Next, select the question you would like to use for the drill down from the list of questions on the left-hand side. Once you have your question, find the small “Drill Down…” link just above the list of questions, as pictured below.

You will see a dialogue box asking if you want to drill down by this question, as pictured below. Click “OK.”

The results for other items will then be broken down by the item you have selected. You can select which item to see via drill down by selecting from your items to the left.

The default table will only display counts as pictured below.

This can be changed using the “Table Options” by selecting “Toggle Percentages.”

The report can also be shared as a Word document, PowerPoint presentation, Excel file, or PDF, just as with all Qualtrics reports. Descriptive statistics by drill down item response are also available.

The drill down option is a quick and effective way to view survey data using the Qualtrics system. There are a variety of other ways that Qualtrics can enhance your survey data collection. We recently became a Qualtrics shop this past year - it is a phenomenal product that is very intuitive to use with excellent help guides that easily walk you through nearly any step/task you need to do - their support team is also very responsive and assists readily - knowing how to do a filtering/drill-down task like this in survey data is a great help.

We recently became a Qualtrics user as well. We have been impressed by the customer service to date and have taken advantage of the live webinars for training. The drill down feature will come in handy as we prepare reports for dissemination.

Steve, this is a great tip for us too. We use Qualtrics extensively and end up reporting survey results to various stakeholders. This will help us breakdown results into more intuitive visualizations in our reports. Thank you!

Great refresher, Steve. My school recently purchased Qualtrics for campus-wide use, the drill-down will come handy as many more faculty take advantage of Qualtrics.
