Job Duties

Business Analytics/Reporting (Informer)

  • Programs business analytics system (Informer) to effectively and efficiently provide information required for internal information and reports and selected external reports such as National Student Clearinghouse reporting and Solomon Act requests
  • Develops, runs, and maintains Registrar's Office reports and identifies and initiates procedural changes necessary to improve efficiency and/or accuracy of academic records
  • Fulfills data requests from the College community including academic departments, faculty, business offices, and administrative committees by programming business analytics system to provide clear, consistent, and accurate data
  • Writes analytical reports with recommendations to college officials
  • Prepares data and analytical reports for the President, Provost, and Executive Officers of the College in support of critical administrative processes
  • Prepares and submits enrollment and degree verification reports for NSC and NSLDS
  • Generates student enrollment census data for use by other offices

Student Information System (Colleague)

  • Works with office staff on various office processes, such as assigning registration rules, registration priorities, advisor clearance, monitoring waitlists, and graduation clearances
  • Completes start of term and end of term processing in Colleague
  • Works with registrar to assign and maintain RYAT (Reporting Years and Terms) and to ensure grades are reported in a timely fashion
  • Oversees the creation and maintenance of degree audits as needed to keep student program evaluations in sync with the College catalog
  • Works with registrar to ensure all midterm and final grades are posted
  • Sets up and maintains non-courses as they relate to testing and nontraditional credit
  • Posts Dean's List Honors to student transcripts
  • Works with assistant registrar for degree progress to process program exceptions and waivers to students' records
  • Works with Academic Life on processes ensuring students declare a major in accordance with college policy
  • Advises registrar on effective management of the student information system
  • Serves as lead for testing, training, and implementing of new functionality
  • Performs data imports as assigned

Data Analysis

  • Analyzes data from the Student Information System (Colleague), as well as monitors and ensures accuracy and integrity of such data
  • Uses business analytics system (Informer) and Excel for statistical analysis of data

Other Information Systems

  • Serves as the liaison between Registrar's Office and IT on projects and issues
  • Manages foreign language placement test scores within Blackboard and imports to Colleague

Other Duties as Assigned

  • Interpret, communicate, and administer academic policies to department chairs, program coordinators, faculty, staff, and students
  • Assist with development and accomplishment of office goals
  • Participate on committees as requested
  • Assists with commencement duties as needed

Job Qualifications

Qualifications

  • Bachelor's degree in statistics, information systems, or related social science quantitative field, and at least three years of experience preferred
  • Excellent oral and written communication skills
  • Excellent organizational and interpersonal skills
  • Ability to multitask and work under pressure

  • Demonstrated ability to exercise sound judgment, tact, and discretion, and maintain integrity with handling sensitive and confidential information; operate in accordance with the Family Educational Rights and Privacy Act (FERPA)
  • Knowledge of an Ellucian Student Information System and of statistical methods and applications preferred including Informer and Microsoft Office

Institution Description

The Information Systems and Data Analysis Administrator position reports to the Registrar and is primarily responsible for developing and maintaining reporting mechanisms on behalf of administrators/faculty/staff using business analytics software (Informer); completing start of term and end of term processing in the student information system (Colleague); advising the registrar on effective management of the student information system; monitoring and analyzing student data ensuring accuracy and integrity; completing required reports and surveys for external groups; and serving as the subject matter expert on all information systems.
