Job Duties
The Division of Research and Policy Analysis (RPA) of the University System of Georgia conducts research and reporting to guide planning and policy for the system’s 26 public colleges and universities and oversees system data collection, ensuring that accurate and up-to-date information is available regarding system trends and innovation. The Academic Information System Specialist carries out the mission of the division by providing functional support for the collection of academic data from USG institutions that is carried out through extraction from institutions’ Banner student information system. This involves assisting campuses with issues during data submission, identifying and problem solving data submission issues, maintaining data validation databases, and assisting with development of enhancements and changes to system data collections. The core of this position is working with both academic and technology personnel to ensure that system data collections gather quality, consistent data from institutions that reflect consistent business procedures in line with USG policy and procedures. This position will work closely with Academic Services personnel in the division of Information Technology Services, who support the collections from a technological perspective, and other personnel in the division of Research and Policy Analysis who utilize the collected data for reporting and research.
- Assist and provide support to the 26 institutions of the USG as they submit Academic, Financial Aid, and Facilities data to the system office.
- Maintain and support the database applications (high school and college code, external site, and academic Degrees and Majors Authorized) that are used for validation of data submitted by Georgia’s 26 public institutions.
- Collaborate with the system office division of Academic Affairs on processes to ensure that the Degrees and Majors Authorized application accurately reflects current approved academic program offerings
- Investigate and troubleshoot data submission issues. Assist with enhancements to the extraction, editor logic, and turnaround reports for data collections.
- Investigate potential data anomalies in collected data and identify processes to prevent future data issues.
- Assist with maintenance of the Data Element Dictionary validations, and reporting glossary for data collections to enhance data quality.
- Participate in requirements gathering for collection of new or modified data elements.
- Develop business practices and user documentation to establish and assist with data entry procedures for the data source system and standardization of data.
- Serve on committees to ensure valid and consistent data reporting across the USG.
Job Qualifications
- Proficiency in Structured Query Language (SQL);
- Experience working with Banner or similar student information system;
- Experience in working with data dictionaries, metadata, data standards;
- Ability to work with others to develop academic business processes that are consistent with policies and will yield standardized data;
- Keen eye for detecting data discrepancies;
- Proficiency in standard office software (e.g., Microsoft Excel, Word, PowerPoint, Access, SharePoint, etc.) and ability to acquire new technology proficiencies;
- Able to handle confidential materials professionally and with discretion;
- Knowledge of FERPA and ethical uses of data;
- Knowledge of issues and trends in higher education;
- Excellent analytical reasoning, problem solving, and written/verbal communication skills;
- Excellent organizational skills including the ability to prioritize work and handle multiple tasks simultaneously to meet deadlines;
- Ability to work independently and as part of a team;
- Willingness and ability to provide support and service to other departments within USG, to USG campuses, and external constituencies.
