Conditions of Employment:

Possession of a valid Driver's License is required.  Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver's license and reflects driving record.

The person holding this position is considered a `mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.

Due to the nature of this position, the successful candidate is required to complete a background check prior to assuming this position.

Position Information:

This is a full-time (temporary) position.

** Successful candidates in these temporary appointments may be appointed from a few days up to one year depending on the assignment. Temporary appointments must end on or before the end of the fiscal year (June 30th of the following year), with the possibility of renewal.

Department: University Advancement

The University Advancement division is charged with developing relationships with external constituencies that will lead to greater resources and financial support of the university. Departments within University Advancement are: Alumni Relations, Government & Community Relations, Ceremonies & Events, Development, Annual Giving, Advancement Services, and Communications & Marketing.
Job dutiesMajor Job Duties:

Under the general direction of the Executive Assistant, the position serves as the primary administrative support person for the Office of the Vice President of University Advancement. Performs a variety of administrative duties that require interacting with external guests, board members, donors, and members of the campus community. Incumbent has regular responsibilities and assignments but also works on special projects as needed; should be self-directed as well as able to take direction from the Vice President’s office and university advancement directors. 

Position requires good judgment, strong computer and presentation skills, good interpersonal communication skills, strong writing skills, flexibility, attention to detail, and strong organizational skills.

Required Knowledge, Skills, and Abilities:
Fully functional and knowledge of and skill in standard office procedures and practices, comprehensive and detailed knowledge of the university infrastructure, policies, and procedures; must have the ability to interpret and apply policies and procedures independently, and use judgement and discretion to act when precedents do not exist; ability to executive work direction, training, and guidance from supervisor and coworkers; ability to make independent decisions on day to day operations; ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area, ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions; ability to interact and follow protocols with senior management and external constituents; ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations; ability to use discretion and maintain confidentiality. 

Thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing; ability to write correspondence and reports. Must possess expertise in using current computer software packages, technology and systems. Ability to work on multiple projects and priorities simultaneously; ability to evaluate and make recommendations related to operational and procedural matters. Must possess critical thinking ability and problem solving skills; must be able to perform basic business math, analyze budget data; ability to work independently and within a team.

Additional Preferred Knowledge, Skills and Abilities:

Proficiency with audio/visual presentation equipment, Adobe design software, and social media knowledge of advancement / fundraising operations preferred. Knowledge of the CSU system a plus.

Specialized Materials:
Computer and a variety of software programs, with an emphasis on PowerPoint and Word; telephone, calculator, A/V equipment (projection of computer presentations), printer/scanner, and driving the golf cart.
Qualificationsxperience and Education:

Required Education:  High school program, technical/vocational program, or their equivalents.

Preferred Education: Graduation from a four-year college/university or commensurate qualifying experience

Required Experience: 

Three or more years of progressively responsible administrative experience, including interaction with external guests/volunteers/VIPs, executives or management, and experience making travel arrangements and processing expenses. 

Preferred Experience:

- Experience working in higher education and/or a non-profit organization
- Experience working in a fundraising operation
- Experience working within the CSU system is a plus
Salary rangeDependent on qualifications and experience
Salary benefitsSalary Range: The salary range for this classification is: $3,115.00 - $5,161.00 monthly.
