Terms and Conditions

These are the terms that govern your attendance at and/or participation in AIR Forum, the annual conference of the Association for Institutional Research (AIR). By registering for the AIR Forum, you agree to these terms. If you are registering on behalf of someone else, it is your responsibility to ensure that the person attending is aware of these terms and accepts them. By completing the registration, you are guaranteeing that you have made the attendee aware of these terms and that they have accepted these terms. 

AIR Forum Admission 

Your registration entitles you to admittance to the AIR Forum, May 28–31, 2024. All other costs associated with your attendance (including but not limited to additional pre- and post-conference educational offerings or travel and/or accommodation expenses) shall be borne solely by you. AIR shall have no liability for such costs. 

Code of Conduct

AIR invites you to attend the AIR Forum, our annual conference, in the collegial spirit of learning, sharing, and networking with open-mindedness and respect. 

AIR is committed to providing a welcoming and inclusive environment for association events and offering safe and dignified experiences for our community. We do not tolerate discrimination, harassment, threatening behavior, or disruptive conduct. We encourage and support the honest and respectful exchange of ideas and perspectives. 

Attendees are expected to behave responsibly during all events. This includes abiding by any COVID health and safety requirements for in-person events. 

Behaviors that violate the code of conduct may result in removal from the event, denial of access to meeting facilities or online platform, and/or other penalties. 

Behaviors that do not belong at AIR in-person and virtual events include but are not limited to disrupting or heckling during a discussion, presentation, or other gathering; discrimination based on a person’s identity, group, or class; harassment of any type; not respecting another person’s boundaries; and aggressive promotion of your own services, products, ideas, or causes. 

Support the Code

As an attendee, you are encouraged to report any instance of unacceptable behavior that you witness or experience during AIR events. Violations may be reported to any AIR Staff member (identifiable by the AIR Staff name tag). 

AIR’s Commitment 

AIR will investigate all incidents reported with discretion and confidentiality. AIR reserves the right to revoke the privilege of attendance to any person who violates the expectation outlined in our Code of Conduct. This includes revocation of attending AIR events in their entirety or in part, and/or to cancel/revoke the event registration without refund. 

Data Privacy

Sponsors & Exhibitors Access to Information

AIR Forum sponsors are provided with certain AIR Forum attendee personal information. This is limited to attendee name, title, institution, and physical mailing address. AIR does not provide attendee email addresses to sponsors. Attendees may opt-in to receive email communications from select sponsors during the registration process. 

Please note that when you allow a scan of your Credentials/Badge by an AIR Forum sponsor or exhibitor, you are consenting to share your contact information (name, company, title and email address) with that entity who may use it to send you communications and materials. 

Any sponsor’s or exhibitor’s use of your information is subject to its privacy policies and practices, which AIR does not control. To unsubscribe from further communications from these entities, please contact them directly. 

Information Shared Via the AIR Forum Mobile App

The list of AIR Forum attendees is shared via the AIR Forum Mobile App and includes your name, company, title and email address. Any information added to your profile is visible to other attendees and sponsors.

Visual/Audio/Image Release 

AIR reserves the right to use any photographs, recordings, electronic images, chat excerpts, social media posts, or other media obtained by AIR during AIR Forum for educational and promotional purposes. 

Attendee's Assumption of Risk 

Attendee assumes all risk incidental to their attendance at AIR events and participation in AIR activities and agrees to hold AIR harmless for such risk. 

For in-person events, attendees acknowledge that there may be hazards and risks of physical injury or illness and that not all such hazards or risks can be fully eliminated. By registering and/or attending AIR events, the attendee freely and voluntarily agrees to assume the full risk of bodily injury or property damage. Attendees understand the risks involved with AIR event activities and appreciate that they may have to exercise extra care for their own person and for others around them in the face of such hazards. 

COVID-19 Safety Measures  

AIR is deeply committed to providing a safe environment for our conference attendees. AIR is monitoring key sources for COVID-19 updates and safety protocols, including the CDC (Centers for Disease Control), federal, state, and local requirements, and those from our meeting venue and host hotels.

Cancellation Policy 

AIR Membership 

AIR individual or organizational membership cannot be canceled once it is ordered.  

AIR Forum Registration 

To receive a full refund, all cancellations must be submitted to AccountsReceivable@airweb.org with the subject line "AIR Forum Cancellation Request" by Friday, May 3, 2024. Cancellations received after the deadline will not be eligible for refund or forgiveness of the amount due. 

AIR Forum registration is transferable to another person from the same institution until Friday, May 10, 2024. If the original registrant is a member and the new registrant is a nonmember, your institution will receive an invoice requiring payment for the difference between the member and nonmember attendance rate or for the cost of membership (professional membership: $200 or graduate student membership: $65). 

Pre-Conference Education Registration 

To receive a refund, all cancellations must be submitted to AccountsReceivable@airweb.org with the subject line "Workshop Cancellation/Change Request" by Friday, May 3, 2024. Cancellations received after the deadline will not be eligible for refund or forgiveness of the amount due.
