Meeting Space Request

The 2026 AIR Forum provides a place for affiliated organizations (AOs), auxiliary groups, and sponsors to host meetings and gatherings. Meeting space is very limited and must be arranged in advance. 

The deadline to submit a meeting space request is April 10, 2026. 

How to Submit a Meeting Space Request

This year, we are collecting meeting requests through the Cadmium platform. This is the same platform that we use to collect session proposals. 

  1. Create an account or sign in. This account is separate from your MyAIR account, but please use the same email for both. Note: If you submitted a session proposal and already have an account, sign in with that account information. 
  2. Under “Proposal Title,” enter the name of your meeting. Example: “WestAIR Affiliated Organization Meeting”
  3. Under “Format Type,” select your meeting type from the dropdown list: Affiliated Organization Meetings, Auxiliary Meetings, or Sponsor Meetings.
  4. Follow the prompts to enter your meeting details and then “submit” to complete your meeting request.

All meetings and events held in conjunction with the AIR Forum must be submitted to and approved by AIR. Please do not contact the venue directly to arrange space to conduct meetings or gatherings during the AIR Forum without first contacting AIR.

Fees and Costs 

There may be a cost* associated with the use of meeting space. Additionally, if you require catering or other services, AIR will put you in contact with the appropriate resources to arrange these services. 

*There is a fee for sponsors who request a meeting or reception space that is not included in their sponsor package. 

*AIR has set aside a special time block for Affiliated Organizations and Auxiliary Groups to gather at the AIR Forum. There is no cost for meeting space for these meetings, but additional services such as room resets, additional AV, and/or food and beverage are the responsibility of the group.
