Job Duties

Essential Functions of the Job:

Data Analysis, Reporting, Training

I. Compile, enter and process/analyze data, create charts and graphs, and generate
data reports and dashboards related to institutional effectiveness and program
improvement.
2. Creates and assists with the development, review, and distribution of surveys,
evaluations, and other assessment tools.
3. Assists in creating reports and organizing the documentation for accreditation,
regulatory agencies, or other internal or external needs including managing large
files, linking documents, and working with shared file structures.
4. Use of proprietary computer software (e.g., Canvas, Survey Monkey) is required.
If no previous experience is demonstrated, the individual must gain functional
ability within 1 month and proficient ability within 3 months. The managers
and/or the Rector at their sole discretion measure ability.
5. Assists in developing and providing training and support for seminary learning management system and other educational technology platforms

Additional administrative and clerical duties

1. Assist the office in a variety of administrative and clerical matters as directed i.e. typing,
proofing reading, copying, filing, email, letter/mailings, telephone use, messages, etc.
2. Assist in meeting planning and travel arrangements for the activities of the OIRE office
including accreditation visits.
3. Secure and keep confidential all data. This includes student, faculty, and benefactor
information and financial records.
4. Assist everyone in a professional, friendly, and hospitable manner.
5. Create and maintain meeting records, agendas, and minutes.
6. Prepare the distribution and mailing of reports generated by the office.
7. Research and answer appropriate queries as needed.
8. As needed, serve as backup to the receptionist to include answering the telephone and
lobby door in a professional manner, directing calls and individuals to appropriate
departments, and sorting and distributing mail and packages.
9. Other duties as assigned by the Director of OIRE or his/her designee.

Job Qualifications

  • College degree preferred.
  • Experience with data analytics, survey generation, data presentation.
  • Comfortable working with databases; familiarity with survey design.
  • Some experience with data visualization; possible experience with business intelligence software.
  • Demonstrated, proficient use of PC/Windows computer skills are required.
  • Demonstrated, proficient use various computer and web based programs to complete assigned duties. Strong proficiency with both Microsoft Excel and Word is required.
  • Proficiency using Firefox, Chrome, Survey Monkey, Google Forms, Adobe Acrobat, and Outlook and additional programs as needed or ability to learn these programs proficiently in 3 months.
  • Some administrative assistant experience, preferably in higher education is helpful.
  • Excellent verbal communication skills.
  • Highly understandable spoken English is required. Bilingual in Spanish is helpful.

  • Typing and readable penmanship required.
  • Possession of current Florida state driver's license.
  • Position requires completing a successful a back ground/criminal screening and driver's license check. It also requires re-screening on a periodic basis.

• Ability to continuously sit for long periods of time.
• Ability to hear, see, and speak effectively.
• Ability to bend, reach and squat on occasions.
• Ability to have effective hand movements: repetitive motion, finger dexterity, and
writing.
• Ability to lift 1-15 pounds occasionally.

Institution Description

St. Vincent de Paul Regional Seminary (SVDP) is a Roman Catholic Diocesan Seminary and independent graduate/professional school of theology offering a Master of Arts (Philosophical Studies for Missionary Discipleship), a Master of Divinity, the Anima Cristi Certificate in Scripture, Catechesis, and Spirituality for the propaedeutic stage, and a Master of Arts (Theological Studies). The seminary enrolls approximately 130 seminarians and 40 lay students, including students who are candidates for the permanent diaconate and typically offers two to three ongoing formation programs a year for clergy and religious. SVDP is accredited by the Commission on Accrediting of the Association of Theological Schools and is a Title IV participating institution. SVDP has a lovely, primarily residential campus in sunny southeast Florida. SVDP was founded in 1963, and serves the dioceses of Florida, Georgia, and North and South Carolina, as well as seminarians from dioceses across the US and Caribbean, and is the only fully-bilingual Roman Catholic seminary in the US.
