Job Duties
The University Registrar provides senior leadership, long term strategic planning, and daily operational oversight for all functions of the Registrar’s Office. Consistent with FERPA guidelines, the Registrar serves as the institutional record data steward by establishing policies governing academic records, registration, academic progress, residency, and degree conferral, and represents the University on state and national groups focused on academic policy and compliance.
The Registrar leads a multi-unit organization that includes Records & Registration, Class Scheduling, Student Academic Records, and Athletic Certification. Direct reports include the Associate Registrar, Assistant Registrar, and the Athletic Certification Officer. The role oversees all HR processes for the department—recruitment, supervision, evaluation, and payroll—and builds staff capacity and a service-oriented culture that supports UofL’s academic mission.
The Registrar manages all Student Information System (SIS) processes related to academic records and registration, including data entry workflows, system configuration, reporting, and ongoing system enhancements. In partnership with ITS leadership, the Registrar guides modernization and integration of enterprise systems, ensures robust data security and governance practices, and advances workflow automation and analytics to support institutional decision making.
Operational responsibilities include stewardship of all official academic records, degree posting, transcript production, diploma issuance, and external reporting to state and federal agencies. The Registrar coordinates development of the course schedule and all registration activities; publishes the Academic Calendar, Undergraduate Catalog, and final exam schedule; and leads planning and execution of Commencement ceremonies twice annually. The office also administers residency determinations, tuition refund appeals, academic status reviews, and NCAA student athlete certification.
The Registrar manages the departmental budget, including expenditure decisions, financial monitoring, implementation of reductions when required, and development of funding proposals or resource reallocations to support strategic priorities.
The role serves as a senior leader on university committees, student success initiatives, and Enrollment Management initiatives, working closely with Deans, Associate Deans, academic departments, and administrative offices to support academic operations and enhance student experience. The Registrar also represents UofL at professional conferences to remain informed on emerging best practices and national trends.
Job Qualifications
Minimum Requirements:
Bachelor's degree in a related field and eight (8) years of relevant experience or an equivalent combination of education and experience. Grade 13 (Salaried)
Preferred Qualifications
Master’s degree in Higher Education, Business Administration, Information Systems, Public Administration.
Ten or more years of progressively responsible leadership experience in Registrar, Enrollment Management, or academic administration roles
Demonstrated experience in supervising complex units and managing enterprise academic or enrollment systems.
Experience serving as an institutional data record steward or compliance officer for FERPA.
Significant leadership experience with student information systems, analytics, and enterprise technology implementation.
Proven success driving process transformation, policy development, and organizational change.
Strong communication, strategic planning, and stakeholder engagement skills.
High level of written and oral communication skills
