Institutional Research Database Administrator

Job Duties

The Institutional Research Database Administrator performs ETL processes from a variety of data systems (e.g., Banner, National Student Clearinghouse) and loads the data into the Institutional Research (IR) office’s Microsoft SQL Server. The Institutional Research Database Administrator performs the ETL processes to condition, organize, and secure these analytical datasets that support statistical analysis, trend reporting, and benchmarking comparisons for the IR office. The role also includes overseeing data access and security for the SQL Server and related online reports. Additionally, the Institutional Research Database Administrator oversees all aspects of the university’s course evaluation system, including data extractions, user support/access roles, and data security.
Essential Functions
  • Serve as a database administrator for the IR Microsoft SQL server and Power BI gateway.
  • Develop and maintain ETL processes that organize and condition data within the SQL server for reporting.
  • Develop and maintain MS SSMS jobs that support recurring reporting.
  • Design and maintain reporting tools and online dashboards.
  • Ensures appropriate access to data as well as the security of the SQL server.
  • Support data audits and other efforts to ensure data integrity.
  • Document processes for data extraction, transformation, and organization.
  • Maintains and enhances multiple databases for reporting, including, but not limited to, admissions, enrollment, yield, retention, courses, grades, evaluations of courses, financial aid, tuition revenue projections, degrees, housing, and faculty.
  • Conduct summary analyses and generate reports to support decision-making.
  • Responsible for the university-wide course evaluation system, including extractions, user support, maintenance, security, and troubleshooting.
  • Performs other related duties as assigned.

Job Qualifications

Minimum Qualifications
  • Two (2) years of post-secondary education.
  • Two (2) years of experience managing large-scale databases, including organizing data through ETL processes to support organizational reporting, supported by postsecondary education or training beyond a high school diploma.
Preferred Qualifications
  • Bachelor’s degree in Computer Science or a related field.
  • Proficiency in a programming language such as Microsoft SQL.
  • Experience using a reporting tool (e.g., Power BI, Crystal Reports) to develop and share reports with end users.
  • Experience managing Microsoft SQL Server environments, including organizing data to support institutional reporting needs.
  • Proficiency with Microsoft Power BI for building and sharing data visualizations and reports.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.
